Event Cancellation Policy

7.1 Attendee Registration
 

A member must log in to receive a member discount when registering for an event on the Section’s website. Refunds will not be issued for individuals registering for an event at the non-member rate who would have otherwise been eligible for the member discount.

 

A person must use a promo code to receive any promotional discount. Refunds will not be issued for individuals registering for an event at the full rate who would have otherwise been eligible for a promotional discount.

 

7.2 Speaker Registration                                                                                                                                                                                                                                

Presentations: Complimentary registration for the day of their session is extended to the speaker who submitted the selected abstract. Any additional speakers are eligible for a reduced registration rate for that day.

Panel Discussions: Complimentary registration for the day of their session is extended to the author who submitted the selected abstract. The moderator and panelists (if different from the abstract submitter) are eligible for a reduced registration rate for that day.

All speaker registrations are subject to review and approval by the Executive Director.

Speakers who register and pay full price without applying the appropriate discount will not be refunded the difference.

7.3 Substitution and Cancellation

 

Substitutions within the same organization are permitted, unless explicitly prohibited for a specific event.

Substitutions for the entire event are complimentary, excluding any difference in member/non-member rates.

Substitutions for part of a multi-day event will incur an upcharge. For example, if one person attends Day 1 and another attends Day 2, the substitute will be assessed an additional fee.

 

     Attendee Cancellation Schedule

More than 14 days prior to the event: Refund minus a $35 processing fee.

8 to 14 days prior to the event: 50% refund minus a $35 processing fee.

7 days or less prior to the event: No refund will be issued.

     Exhibitor Cancellation Schedule

30 days or more prior to the event: Refund minus a $150 processing fee.

Less than 30 days prior to the event: No refund, unless the exhibit space is resold. If resold, a refund will be issued minus the $150 processing fee.

 

Under extenuating circumstances, a credit for training may be issued but is only redeemable for Section event registrations and must be used within the same calendar year. Credits are granted at the sole discretion of the Executive Director.

 

     Emergency Situations

Cancellations due to documented emergencies (e.g., medical or family emergencies) may be eligible for credit toward a future Section event.

Credits are:

Issued at the sole discretion of the Executive Director.

Non-transferable.

Valid only within the same calendar year.

     Joint Events

These policies do not apply to jointly hosted events between MI-AWWA and other organizations. Please consult the specific event’s cancellation policy for details.

7.4 Planning Events

 

To ensure efficient use of MI-AWWA staff and other resources, volunteers seeking to plan events shall use the event planning form available on the Section website. The form must be completed and submitted to staff at least eight weeks in advance of the proposed event. Members are encouraged to collaborate with staff on completing the form to ensure clarity of expectations and increase the likelihood of a successful event.

 

Any event that members would like to co-locate with a conference should have a lead-time of at least 16 weeks.

 

The Board in its sole discretion may direct staff to plan events with a shorter lead time, in particular events that have a direct impact on the health of the organization or of importance to the water sector as a whole.

 

Whenever possible, multiple events will not be scheduled on the same day.
