From helping with registration to assisting in sessions, your support makes a real difference. You must be a registered attendee to volunteer. We can’t do it without you, and we’re looking forward to seeing you—and working alongside you—this year!

Volunteer shifts range from as little as 1 hour to up to 4.5 hours, depending o

n the role. Whether you have a little time or a lot, there’s a way for you to get involved and make a meaningful impact!


Sign-Up to Volunteer at MI-ACE

Volunteer Information Session – MI-ACE 2025

Join us for a Volunteer Information Session to get an overview of MI-ACE 2025 and learn what to expect as a volunteer. This briefing will cover key responsibilities, schedules, and how you can make a meaningful impact at the conference.

The Zoom link will be sent to all registered volunteers prior to the meeting.

Moderator (General Session and/or Breakout)

  • Call the room to order and formally welcome attendees at the beginning of each session.

  • Deliver essential housekeeping announcements, including:

    • Location of restrooms.

    • Request to silence cell phones and avoid disruptive behavior (e.g., talking, reading).

    • Reminder for certified operators to sign in and out each day to receive CEC credit (repeat at the beginning and end of the day).

  • Introduce each speaker and guest using their full name, organization, and a brief bio (provided in advance).

    • Acknowledge any AWWA Board members or special guests in attendance.

  • Monitor the session schedule and keep speakers on time:

    • Provide presenters with a 5-minute warning before their time ends.

  • Facilitate Q&A sessions if time permits.

  • Announce scheduled breaks and lunch times clearly to attendees.

  • Ensure the room clock or podium timer is accurate for proper timekeeping.

  • Thank each speaker following their presentation and express appreciation to all presenters at the end of the session or day.

Membership Table

  • Welcome and engage event attendees at the MI-AWWA Membership Table.

  • Promote the benefits of MI-AWWA membership, including networking, training, professional development, and industry resources.

  • Encourage non-members to join and assist them with the sign-up process.

  • Answer questions about MI-AWWA’s mission, events, committees, and programs.

  • Highlight upcoming events and volunteer opportunities.

  • Hand out brochures, membership forms, and promotional materials.

  • Keep the table space clean, organized, and inviting.

  • Refer attendees to appropriate MI-AWWA staff or committee members for detailed information when needed.

    Registration

    • Greet attendees and foster a warm, welcoming environment at the registration area.

    • Assist attendees with using the self-service badge printing station.

    • Distribute name badges, badge holders, and lanyards to attendees.

    • Review printed badges for lunch and drink ticket indicators and provide tickets as needed.

    • Apply any required stickers for special designations or access levels to badges.

    • Answer general event questions and direct attendees to the appropriate rooms or personnel.

    Door Attendant

    • Greet attendees as they arrive and provide a friendly, welcoming presence.

    • Check in with the session moderator at the start of your shift to see if they need assistance or have announcements.

    • Help attendees self-scan their badges for continuing education credit or attendance tracking.

    • Answer general event questions or direct attendees to appropriate staff or locations.

    • Monitor door activity to limit disruptions (e.g., assist late arrivals with quiet entry).

    • Manage the flow of attendees in and out of the session room, especially between sessions.

    • Support light setup tasks or signage adjustments as needed (e.g., session signage, seating arrangements).

    • Notify event staff of any issues such as technical problems, overcrowding, or attendee concerns.
